Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.

Having passed the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY may be recognized in place of the GGST, pending confirmation.
Org. Setting and Reporting
The post is located in the Electronic Publishing Unit (EPU), English, Publishing and Library Section (EPLS), Conference Management Service (CMS), Division for Management (DM), United Nations Office at Vienna (UNOV). The incumbent will work under the general supervision of the Chief, Electronic Publishing Unit (EPU) and the direct supervision of the senior level Production Assistant in EPU.
Responsibilities
The incumbent is responsible for the overall administration of all operations pertaining to the processing of requests for EPLS services. He/she is directly responsible for screening and processing incoming documents and requests for publishing services and their distribution within the Section, including the maintenance of appropriate records in the Documents, Conference and Production Management System (DCPMS) and monitoring deadlines. Within limits of assigned authority, the Production Assistant will be responsible for the following duties:

• Review all material submitted to the Electronic Publishing Unit (EPU) for processing and ensure its completeness. He/she will advise submitting offices of modifications or additional material required to bring the production into line with United Nations editorial and printing standards; establish priorities within the deadlines given on the D-1 ("request for document services") form for all work in the section, negotiate deadlines with Documents Control; consulting with the Chief of EPU to distribute work for copy preparation/proofreading, typesetting and graphic design.
• Examine manuscripts and submitted data in electronic format to make sure that they are in proper form for printing/reproduction; check cover and title pages, tables of contents, disclaimers, footnotes, pagination, cross-references, figures and annexes. He/she will check the format of text and graphics supplied by consulting officers via Documents Control for DTP; prepare specifications and instructions for those units and check the final layout/design before printing. 
• Keep electronic records of all stages of processing in the DCPMS system and provide reports/updates on production status for EPU/Chief. 
• Advise substantive offices of the technical specifications (types of files that are acceptable) and estimated timing of services. Negotiate deadlines with submitting offices.
• Liaise with United Nations Sales and Marketing Sections in New York and Geneva on matters such as pricing, print runs, allocation of sales, ISBN and ISSN numbers of forthcoming sales publications.
• Assist in the development and maintenance of a storage and retrieval system for digital artwork and media-related components.
• Organize material for externally contracted work in the copy preparation, typesetting and proofreading areas, and provide information for external contractors to UNOV Documents Management Unit.
• Perform other work related duties as required.

• Technological Awareness: Good computer skills; proficiency in using advanced functions on United Nations standard and relevant computer applications (e.g. Lotus Notes, Word, Excel, Internet).
Education
High school diploma or equivalent. Some formal training in desktop publishing programs and production processes is required. Must have passed the United Nations Administrative Support Assessment Test (ASAT) or the Global General Service Test (GGST) at Headquarters or an equivalent locally-administered test at Offices Away from Headquarters.
Work Experience
A minimum of five years of experience in documentation or publications production is required. Experience of art/design and print production techniques/coordination is required. Some knowledge of desktop publishing software is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position fluency in English, i.e. oral and written proficiency is required. Knowledge of another official United Nations language is desirable. Knowledge of German is an asset.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
